1. Registration and Payment
1.1 Registration is only considered final upon receipt of the non-refundable deposit of €3,750 (VAT included), which covers the fee for the first training weekend.
1.2 The total course fee of €15,000 (VAT included) becomes contractually binding upon registration.
It is payable either:
• In full at the time of registration
or
• In four instalments of €3,750 each, due no later than one week prior to the start of each respective training weekend.
1.3 Continued participation in the program is contingent upon timely payment of all instalments. In case of late or missing payment, the organizer reserves the right to deny access to the program without refund or compensation. The full course fee remains due in case of non-compliance.
1.4 In case of late payment, the participant shall be liable, by operation of law and without prior notice, to pay:
• Late payment interest of 8% per annum, calculated from the due date until full payment; and
• A fixed recovery cost of €40, without prejudice to the organizer’s right to claim higher damages if actual recovery costs exceed this amount. These provisions apply in accordance with Belgian law, in particular the Law of 2 August 2002 on combating late payment in commercial transactions.
2. Cancellation by the Participant
2.1 Cancellations must be submitted in writing (an email with confirmation of receipt is sufficient).
2.2 If cancellation occurs before the first weekend:
• More than 1 month before: full refund minus a €150 administrative fee;
• Between 1 month and 2 weeks before: refund minus a €500 cancellation fee;
• Less than 2 weeks before: the full deposit of €3,750 is non-refundable.2.3 After attending the first training weekend, the full course fee of €15,000 becomes due and payable in full. No refund or waiver of remaining payments will be granted, regardless of the reason, including illness
or force majeure.
3. Attendance Requirement & Certification
3.1 The program is held once per calendar year. Missed training days or weekends cannot be rescheduled or made up during the same cycle.
3.2 Certificates of completion are only issued to participants who attend all training days in full. Partial attendance—regardless of reason—results in disqualification from certification.
3.3 Active participation in workshops and practical sessions is required. Passive attendance may lead to non-certification at the organizer's discretion.
3.4 No exceptions will be made, and no legal claims may be brought for non-certification due to absence or insufficient participation.
4. Cancellation or Modification by the Organizer
4.1 The organizer may cancel the program due to force majeure, insufficient registrations, or other unforeseen and unavoidable circumstances. Participants will be informed as soon as reasonably possible.
4.2 If the program is cancelled prior to its start, all payments made will be refunded. The organizer shall not be liable for any additional costs such as travel, accommodation, or lost income.
4.3 The organizer reserves the right to modify dates, venues, course structure, or the speaker line-up, provided that the core educational objectives remain intact. Such changes do not entitle participants to cancel or claim compensation.
4.4 In case of partial cancellation (e.g., a weekend being rescheduled), the organizer will propose a suitable alternative. This shall not be considered a breach of contract.
5. Force Majeure
5.1 Force majeure includes, but is not limited to: instructor illness or unavailability, pandemic events, government restrictions, strikes, natural disasters, war, or any event beyond the organizer's reasonable control.
5.2 In such cases, participants are not entitled to refunds or compensation unless otherwise agreed in writing.
5.3 The organizer will make reasonable efforts to offer alternatives such as rescheduling, speaker substitution, or format adjustments. No liability exists for consequential damages such as travel or accommodation costs.
6. Liability
6.1 The organizer accepts no liability for personal injury, theft, or property damage occurring during the program, regardless of cause.
6.2 While the course content is prepared with care, the organizer bears no responsibility for how participants interpret or apply the material in clinical practice.
6.3 The organizer is not liable for any direct or indirect consequences resulting from the participant’s use of the course material, unless in cases of gross negligence or fraud, in line with Article 5.88 of the Belgian Civil Code.
7. Intellectual Property
7.1 All course materials (slides, visuals, handouts, and digital content) are protected by copyright and remain the intellectual property of the instructors and/or organizer.
7.2 Reproduction, distribution, modification, or commercial use of course content is strictly prohibited without prior written consent.
7.3 Unauthorized sharing on social media or public platforms is forbidden and may result in legal action under Belgian copyright law.
8. Privacy & Media Use
8.1 Photos and videos may be taken for documentation and promotional purposes. Participants who object must notify the organizer in writing in advance.
8.2 Personal data is handled in compliance with the General Data Protection Regulation (GDPR) and used solely for course-related communication.
8.3 A full privacy policy is available upon request.
9. Applicable Law and Jurisdiction
9.1 These Terms and Conditions are governed by Belgian law.
9.2 Any disputes shall be submitted to the exclusive jurisdiction of the competent courts of Brussels. By registering, the participant explicitly accepts this forum selection clause.
10. Code of Conduct
Participants are expected to behave respectfully and professionally toward instructors, fellow participants, and staff. Inappropriate conduct may lead to exclusion from the program without refund.
11. Acceptance of Terms
By completing the registration process, the participant confirms to have read, understood, and accepted these Terms and Conditions in full.
